Sales Coordinator
Opportunity Intake & Sales Support
· Review and qualify incoming opportunities from referrals, general contractors, architects, designers, and existing clients.
· Organize new bid information including drawings, specifications, message schedules, artwork, deadlines, contacts, and submission requirements.
· Create and maintain accurate CRM records in Monday.com, including opportunity status, due dates, follow-up dates, client notes, and supporting documents.
· Identify missing information early and communicate with clients or internal teams to keep opportunities moving.
◆ Proposal & Estimating Coordination
· Prepare clear bid breakdowns and costing requests for Engineering, vendors, installers, and specialty subcontractors.
· Assist with proposals and quotations by organizing scope, quantities, materials, finishes, graphics, mounting methods, installation requirements, and exclusions.
· Track proposal deadlines and internal promise dates and follow up with the appropriate team members before deadlines are at risk.
· Review proposals for completeness and consistency before they are submitted to clients.
◆ Client Communication & Follow-Up
· Communicate professionally with clients to confirm scope, clarify questions, coordinate documents, and provide status updates.
· Maintain consistent proposal follow-up so open opportunities do not become inactive or overlooked.
· Support outreach to past and dormant clients and help identify repeat-order and relationship-development
Required Qualifications
· Strong organizational and time-management skills with the ability to manage multiple active opportunities and deadlines.
· Excellent written and verbal communication skills with a professional and service-oriented approach.
· Strong attention to detail when reviewing drawings, documents, pricing information, and client requirements.
· Comfort using Microsoft Office and CRM software with the ability to learn Monday.com and Precision Signs processes.
· A proactive, accountable work style and the ability to follow through without constant direction.
◆ Preferred Experience
· Experience in signage, construction, architecture, commercial interiors, printing, millwork, or project coordination is strongly preferred.
· Comfort reviewing basic floor plans, elevations, specifications, message schedules, and artwork files is a plus.
· Experience with estimating, proposals, bid coordination, Bluebeam, Adobe Acrobat, or technical sales is beneficial.
